Association Management
I. ADMINISTRATIVE
- Assist with enforcement of By-Laws, CC&R’s and Rules & Regulations.
- Prepare and mail notice, agenda, ballots, and proxies for Annual Meeting.
- Attend Annual Meeting of Association Members (optional).
- Attend Monthly Board of Directors Meeting (optional).
- Prepare and mail all correspondence as directed by Board of Directors.
- Prepare for renewal of insurance policies when due for expiration and assist with all insurance claims.
- Provide telephone consultation for Board Members and Homeowners Monday through Friday between 9:00 AM and 5:00 PM.
II. ACCOUNTING & BOOKKEEPING
- Arrange for Annual Reserve Study as required under New Jersey Statute 1365.
- Assist Treasurer to prepare Annual Budget
- Assist Board in establishing an Assessments Collection Policy.
- Maintain current roster of homeowners and addresses.
- Prepare and mail out monthly homeowner statements. (Return envelopes provided for convenience.)
- Deposit all receipts in a timely manner.
- Send delinquent assessment reminder and lien notices to homeowners.
- Arrange for lien proceedings with Attorney for delinquent assessments.
- Maintain and process Accounts Payable in a timely manner.
- Provide a monthly report to Board of Directors.
- Arrange for Annual Tax Returns and Annual Review (if necessary).
- Assist with escrow documentation.
III. ON – SITE SERVICE
- Conduct monthly walk through inspections and report to the Board as necessary.
- Obtain bids for all required maintenance, repairs and improvements.
- Supervise routine maintenance such as cleaning, landscape and pool maintenance.
- Provide 24 hour emergency services.
Rental Management
I. ADMINISTRATIVE
- Establish & enforce building Rules & Regulations.
- Prepare & execute rental agreements for new tenants.
- Prepare & execute rent increases when appropriate.
- Prepare & execute rental agreement extensions.
- Prepare & mail all correspondence to tenants as needed.
- Prepare for renewal of insurance policies when due for expiration and assist with any insurance claims.
- Provide telephone consultation for all tenants Monday through Friday between 9:00 AM & 5:00 PM.
II. ACCOUNTING & BOOKKEEPING
- Maintain current rent roll.
- Collect and deposit all rents in a timely manner.
- Send delinquent rent reminder and late notices to tenants.
- When necessary, arrange for eviction proceedings with Attorney.
- Maintain and process Accounts Payable in a timely manner.
- Provide monthly report to owners which includes computer generated Balance Sheet and Financial Statements, Reconciled Bank Statements, Cash Flow with Budgets (Compares Budget vs. Actual), Check Registers, Copies of Non-Recurring Invoices, Outstanding List showing delinquent tenants, and copies of Reminder/Late Notices.
III. ON – SITE SERVICE
